Create adjustments on open invoices (ATAR013)

Overview

Invoice Adjustment posts a manual adjustment to an open invoice. Use it for small balance corrections, over/under charges, short‑pay offsets, or late fees (per policy). The screen shows the current Balance for reference.

Sign convention: Enter a negative amount to increase the customer balance (debit to AR). Enter a positive amount to reduce the balance (credit to AR). This guidance also appears on the screen footer.

Prompts & Fields

  • Company β€” Company/entity for posting.
  • 1. Client Name β€” Customer on the invoice.
  • 2. Invoice No. β€” Department + invoice number. Current Balance displays at right.
  • 3. Adj. Date β€” Posting date of the adjustment.
  • 4. Acct Number β€” G/L or reason bucket for the adjustment (e.g., Over/Under). Options vary by site setup.
  • 5. Adj. Amount β€” Amount of the adjustment. See sign convention above.

Post an Adjustment β€” Steps

  1. Confirm Company and Client Name.
  2. Enter the Invoice No. to adjust, enter / to view list and verify the displayed Balance.
  3. Enter the Adj. Date (must be in an open period).
  4. Select the Acct Number Enter / to view list. (e.g., Over/Under or another adjustment account/reason).
  5. Enter the Adj. Amount (negative to increase, positive to reduce the balance).
  6. Press P to Post. Print/export confirmation if required.

Commands

  • Line# β€” Jump to any prompt.
  • Quit β€” Exit without posting.
  • TOP β€” Return to the first prompt.
  • Post β€” Finalize and post the adjustment.

Tips

  • For disputed charges or pricing fixes, consider void/re‑bill (Modify a Paid Invoice) rather than a large manual adjustment.
  • Use consistent Acct Number (reason) coding to keep deduction analytics accurate.
  • Attach supporting proof (emails, pricing sheets) in DIS.

Troubleshooting

  • Invoice closed/paid β†’ You cannot adjust; follow the void/re‑issue process instead.
  • Wrong sign β†’ Remember: negative increases balance; positive reduces it. If posted incorrectly, create a reversing adjustment.
  • G/L account not allowed β†’ Select a valid adjustment account per your configuration.
